Privacy Policy

This Privacy Policy describes how Ortiki ("we," "us," or "our") collects, uses, and shares information when you use the Ortiki mobile and web application (the "Service"). Ortiki helps you store and manage product warranty information — including documents, receipts, and photos — for personal or business use. By using Ortiki, you agree to the practices described here. If you do not agree, please do not use the Service.

01Information We Collect

Information you provide directly

  • Account information: name, email address, and password (or third-party sign-in identifiers if you register via Google or another provider).
  • Content you upload: warranty details, product information, purchase dates, receipts, invoices, photos, scanned documents, notes, and any other files you store in Ortiki.
  • Business information (for business accounts): company name, team member details, and any business records you add.
  • Payment and billing information: if you subscribe to Ortiki Pro, billing details such as your name, billing address, and payment method are collected and processed on our behalf by our payment processor, Stripe. Ortiki does not directly receive, process, or store your full payment card number — Stripe handles that in compliance with PCI-DSS. We retain records of your subscription status and transaction history (e.g., plan, amount, and date) as needed for billing, support, and accounting.
  • Communications: information you provide when you contact us for support or feedback.

Information collected automatically

  • Usage data: how you interact with the Service, features used, and actions taken.
  • Device & technical data: device type, operating system, app version, language settings, and general (non-precise) location inferred from IP address.
  • Identifiers: device identifiers and, where applicable, cookies or similar technologies on our web app.
  • Advertising identifiers: in the mobile app, device advertising identifiers (such as the Android Advertising ID) and related technical data used to serve and measure ads through Google AdMob; on the web app, similar technical data (such as cookies) used to serve and measure ads through Google AdSense — see Advertising below.

Device permissions we may request

  • Camera & photo library: to scan or upload receipts, documents, and product photos.
  • Notifications: to send warranty expiry reminders and alerts.

You can manage these permissions through your device settings at any time.

02How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service, including storing and organizing your warranty records.
  • Send reminders and notifications about warranty expiry dates.
  • Process Ortiki Pro subscription payments, manage billing, and provide related customer support.
  • Process receipts and documents, including any optical character recognition (OCR) or automated text extraction used to populate fields.
  • Authenticate you and secure your account.
  • Respond to your support requests and communicate with you about the Service.
  • Improve and develop new features, and analyze usage trends.
  • Detect, prevent, and address technical issues, fraud, or abuse.
  • Comply with legal obligations.

04How We Share Your Information

We do not sell your personal information. We may share information in the following limited circumstances:

  • Service providers: third parties that host our infrastructure, provide cloud storage, process analytics, or deliver notifications on our behalf, under contractual confidentiality obligations.
  • Payment processor: Stripe, Inc., to process Ortiki Pro subscription payments and manage billing. Stripe receives the billing and payment information necessary to process your transaction and acts as an independent controller of that data under its own privacy policy, available at stripe.com/privacy.
  • Advertising partners: Google AdMob (mobile app) and Google AdSense (web app), and their networks of advertising partners, to deliver and measure ads, subject to the consent choices described in Advertising below.
  • Business account collaborators: if you use a shared business account, your content may be visible to authorized team members on that account.
  • Legal requirements: when required by law, regulation, legal process, or governmental request.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Privacy Policy.
  • With your consent: when you direct us to share information (for example, exporting or sharing a warranty record).

05Data Storage & Security

Your data is stored on secure cloud servers operated by us or our service providers. We implement technical and organizational measures designed to protect your information, including encryption in transit and access controls. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

06Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. When you delete content or close your account, we delete or anonymize your personal data within a reasonable period, except where retention is required for legal, accounting, or security purposes.

07Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Delete your personal information.
  • Object to or restrict certain processing.
  • Receive a copy of your data in a portable format.
  • Withdraw consent where processing is based on consent.

California residents (CCPA/CPRA): you have the right to know what personal information we collect, request deletion, correct inaccurate information, and opt out of any "sale" or "sharing" of personal information. We do not sell your personal information; the "sharing" that occurs with our advertising partners for ad personalization can be controlled through Account > Ad Privacy Options in the mobile app, described further in Advertising. You will not be discriminated against for exercising these rights.

08International Data Transfers

Your information may be transferred to and processed in countries other than your own, including the United States of America. Where required, we use appropriate safeguards such as Standard Contractual Clauses to protect your information during such transfers.

09Children's Privacy

Ortiki is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.

10Third-Party Services

The Service may integrate with third-party services (for example, sign-in providers, cloud storage, payment processing, or advertising). Your use of those services is governed by their own privacy policies, and we encourage you to review them. We are not responsible for the privacy practices of third parties.

11Advertising

The mobile app displays ads served through Google AdMob, and the web app displays ads served through Google AdSense, both services provided by Google LLC, to help support free use of the Service. To select and measure ads, AdMob/AdSense and their advertising partners may collect and use device identifiers (such as the Android Advertising ID) or cookies, IP address, and general device and app information, to serve either personalized or non-personalized advertising.

Where required by applicable law — including the EEA/UK GDPR and certain U.S. state privacy laws — we ask for your consent to this data use the first time it applies to you, through Google's User Messaging Platform (UMP) consent form. You can review or change your ad-related privacy choices at any time from Account > Ad Privacy Options in the app; this option is only shown when applicable to your region, consistent with how those laws scope the requirement.

We do not select or control the specific content of individual ads shown; ads are chosen by Google's systems and its network of advertising partners. You can learn more about how Google uses information from sites and apps that use its services at policies.google.com/technologies/partner-sites.

12Cookies & Similar Technologies

Our web application may use cookies and similar technologies to keep you signed in, remember preferences, analyze usage, and — through Google AdSense — serve and measure ads. You can control cookies through your browser settings, including Google's own ad personalization controls at adssettings.google.com. The mobile app's use of comparable advertising identifiers is described in Advertising above.

13Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy with a new "Last updated" date and, where appropriate, through in-app notice. Your continued use of the Service after changes take effect constitutes acceptance of the revised policy.
